Administrative Assistant

Morgan, Lewis & Bockius LLP, one of the world?s leading global law firms firm with almost 4000 lawyers and staff in 30 offices is seeking an Administrative Assistant reporting to the Director of Administration. This position will reside in the Boston office and will be responsible for providing a wide range of administrative and secretarial assistance to the Director of Administration along with providing support to the Facilities Manager and Administrative Support Manager in administrative operations.
?Maintain calendar appointments;
?Coordinate conference calls and in-person meetings;
?Respond to attorney, client, staff, and vendor inquiries;
?Prepare, track and submit expense forms and invoices;
?Edit and proofread correspondence, memorandums, reports and other general communication;
?Support office and practice group events on occasion, including preparing materials, working with the graphics team, and preparing name tags.
?Provide general support to the Facilities Manager for correspondence, invoice processing
?Coordinate with the Facilities Manager for maintenance of the office floor plans.
?Provide assistance to Administrative Support Manager
?The successful candidate will have a minimum of an Associate's degree and one to three years of related experience, preferably in a professional services industry or equivalent combination of education and experience.
?This position requires strong interpersonal communication and the ability to problem solve.

?The successful candidate will be a self-starter who has excellent time management, administrative and organizational skills to consistently juggle a full project load.
?Candidates must be highly proficient in using technology, such as email and meeting schedulers, to improve efficiency.
?In addition to word processing, proficiency in Excel is required.
?Experience with PowerPoint, InterAction, WebEx, Chrome River and SharePoint are a plus.
?Flexibility with overtime required.
?Ability to handle confidential information discreetly

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
